Privacy Policy

We collect information you provide directly to us when you create an account, configure your AI assistant, or communicate with us. This includes: business name, contact information (name, email address, phone number), payment information (processed securely by Stripe — we never store card numbers), and configuration data such as working hours and service descriptions. We also automatically collect call data when your AI assistant handles calls: caller phone numbers, call recordings (where applicable), AI-generated transcripts and summaries, and appointment details. This data is necessary to deliver the core service.

We use the information we collect to: provide, operate, and improve the Replify service; process transactions and send related information; send post-call notifications, appointment summaries, and booking confirmations to you and your customers; respond to your comments and questions; and send you technical notices and support messages. We do not sell your personal information or your customers' personal information to third parties.

We share your information with third-party vendors and service providers that perform services on our behalf, including: telephony providers (call handling), AI voice processing providers, payment processors, database hosting providers, email delivery providers, and cloud hosting providers. Each of these providers is bound by their own privacy policies and data processing agreements. We may disclose your information if required by law, court order, or governmental authority.

Replify offers an optional Google Calendar integration that allows our AI assistant to check your availability and book appointments directly into your calendar. This feature is entirely optional — Replify works without it, though automatic calendar booking will not be available. When you connect Google Calendar, we request only the permissions necessary to perform these two tasks: reading free/busy information to determine available time slots, and creating calendar events for appointments booked through our service. We do not read, access, store, or process the content of your existing calendar events. The only calendar data we store is information about appointments our service creates on your behalf: the appointment date and time, the caller's name, phone number, and a brief description of their service request. We do not retain any other data from your Google Calendar. You may disconnect the Google Calendar integration at any time through your Replify dashboard settings. Doing so will revoke our access and no further calendar reads or writes will be performed. Previously booked appointment records in Replify will remain unless you request deletion. Our use of Google Calendar data complies with the Google API Services User Data Policy, including the Limited Use requirements.

We retain call transcripts, summaries, and appointment records for as long as your account is active plus 90 days after cancellation. You may request deletion of your data at any time by contacting us at hello@replify.tech.

We take reasonable measures to help protect information about you from loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction. All data is encrypted in transit (TLS) and at rest. Payment data is handled exclusively by Stripe and never stored on our servers.

You may access, update, or delete your account information at any time through the Replify dashboard or by contacting us. You may also opt out of marketing communications by following the unsubscribe instructions in those emails.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting a notice in the dashboard or sending an email. Your continued use of the service after such changes constitutes acceptance of the updated policy.
